Data processing in the context of our association’s work

Membership Administration
As part of our association’s activities, we process the personal data of our members (including name, postal address, email address, and telephone number) solely for the purpose of fulfilling our organisational responsibilities. Specifically:

  • The board has access to all membership data necessary for carrying out its duties. This includes, in particular, sending confirmation emails upon processing membership applications and issuing invitations to the annual general meeting.
  • Individuals responsible for financial matters process data required for the collection of membership fees. Auditors have access to data necessary for audit purposes. This includes, in particular: full name, postal address, bank details, payment data, and—if a direct debit mandate has been issued—a corresponding authorisation including signature.
  • The association’s office processes member data for general administration and support purposes.

The purpose of processing member data is to pursue the association’s aims and to administer the membership. The legal basis is the contractual relationship under Article 6(1)(b) of the General Data Protection Regulation (GDPR).

Personal data are stored for the duration of membership and deleted once they are no longer required, unless statutory retention obligations apply. Certain data (e.g. payment records) may be stored for up to ten years after termination due to such obligations.

Data Processing on Our Website

Log Files
When our website is accessed, log files are created to analyse errors and security incidents. These files are stored for a few days or weeks and then automatically deleted.
We use Heinlein Hosting GmbH as our external service provider for website hosting. The log files are stored on their servers.

Language Settings
Our website does not collect personal data to analyse or track usage behaviour. The language version of the website is automatically selected based on your browser’s language settings. This setting is not stored or linked to other data.

Online Membership Form
If you submit a membership application via our online form, we will process the personal data you provide in order to initiate and establish membership, based on the purposes and legal grounds outlined in section 1 above. To ensure the secure operation of the form and to monitor its functionality, we use an anonymous counting mechanism. Only a timestamp is recorded indicating when the form was submitted. This data is not personally identifiable. The technical data are deleted as soon as they are no longer required for the stated purpose.

Contact Options
The website of 3ezwa e.V. provides information that allows for quick electronic contact with our association, including a general email address.
If you contact us via email, the personal data you provide will be stored in accordance with the applicable legal retention periods for the purpose of responding to your enquiry. These data are stored solely for the purpose of processing your enquiry or responding to you. They will not be shared with third parties.

Data Subject Rights
If we process personal data relating to you, you are a data subject within the meaning of the GDPR and you have the following rights:

  • the right of access to your data and to receive a copy,
  • the right to rectification of inaccurate data,
  • the right to erasure of your data, unless exemptions apply,
  • the right to restriction of processing,
  • the right to withdraw consent at any time,
  • the right to object to processing based on public or legitimate interests,
  • the right to data portability,
  • the right to lodge a complaint with a data protection supervisory authority if you believe that we are not processing your data lawfully.
